Timemaster Workflow Module
Timemaster Workflow frees your senior professional staff from the administrative tasks so they can spend more of their time on project and service delivery. The document management system allows production of documents in Microsoft Office directly from the Timemaster projects database. The central filing system also provides project checklists and a calendar-based To Do list for each user.
During the life of a project, professionals can find themselves having to complete a large number of forms, letters and reports often completing the same information time and time again on a slightly different document. In almost all cases the project identifier, description, project team, client address etc. needs to be completed on every piece of paper. A common solution to this problem is to locate the last similar job and start changing parts of the original document, hopefully remembering to save it under a different name.
Timemaster Workflow provides a more complete solution to these and a number of other problems facing the busy professional whilst maintaining the standards required by ISO and audit systems. Timemaster Workflow strives to complete the equation:

The project checklist provides a list of actions required for each type of job. Each action is associated with a standard Microsoft Word or Excel document from your library of standard QA documents.

- Each action in the checklist is associated with a standard Microsoft or Excel document
- Double clicking the action makes a copy of the standard document into the project folder and populates it with project information. It is then opened for editing
- Online guidance can be viewed whilst completing the document
- On completion, the document is automatically filed and marked as complete and set as read-only
- Completed documents can only be amended by creating a new version
- Actions can be allocated to team members or marked as not required
- It is easy for others to see how far the project has progressed and what is left to do
- An audit trail of all actions by all members is available
- Additional actions (for which there is no standard document) such as letters, faxes, memos etc. are automatically filed along with the rest of the project documentation
- Incoming and outgoing e-mail and attachments are included in the project documentation

- Standard QA documents are populated with database tags similar to mail-merge tags
- Turning your QA and sample forms into standard documents is an easy, clerical task
- An example database tag would be <
> or < > - When the action is processed the tags are replaced with information from the database
- Skeleton letter, faxes and memos, would be included as standard documents
- Any information held within the Timemaster database can be used to populate the document
- Third party ODBC compliant databases such as Microsoft Access can also populate the documents
- All documents are automatically filed. The professional does not need to know where the documents will be automatically found and placed on their desktop
Each person receives a diary of actions due this month and a list of recently completed actions and actions due.
