Timemaster Flexi-time module

Timemaster Flexi-time will monitor the daily attendance of your staff to support their Life-Work Balance and ensure your compliance with the working time legislation. It provides a number of benefits to staff and management alike:

  • Monitors both attendance and absence
  • Encourages staff to take meal breaks
  • Calculates staff working hours for each week within a flexi-period
  • Allow accrued flexi-time hours to be carried over (rules permitting) to the next period, taken as days in lieu or as overtime
  • Manages on-line absence requests and approvals
  • Provides a department-wide view of annual leave, sick leave and flexi-time
  • Encourages timesheet completion by balancing with the flexi-timecard
  • Provides Working Time Directive reports
Reconciliation between timecard and timesheet can be set up so that in order to record flexi credits the staff member must be up to date with their timesheet
  • Attendance can be recorded using the timecard supplied with Timemaster, Timemaster Web, using swipe/proximity readers, or using an online timer
  • User enters start and end times and the system calculates the daily attendance
  • Online timecard calculates flexi balances between periods
  • Swipe times which have been amended are highlighted in red
  • Clicking on the time shows the original and changed values
  • Running total of flexi credit to the previous day
  • Each person allocated to a flexi rule set which defines the working times and carry forward rules
  • Early start and late cut-off rules may be applied

Depending on the type, abscesses can either be directly entered or forced through the requests system.

  • User requests absence (holiday, flexi-leave etc.) by entering a start date and return date
  • Timemaster calculates the number of days taking into account non working days and bank holidays
  • Annual leave is checked against entitlement and previous holidays taken
  • Flexi-leave is checked against rules and balance available
  • A message and/or e-mail is sent to the line manager requesting approval
  • Both user and line manager can view the departmental holiday chart online
  • Once approved the timesheet is completed with he project bookings used for absence recording
  • Approval or rejection will send a message and/or e-mail back to the user
  • the online absence chart is available to all
  • The chart can be exported to Excel for large-size printing

  • At the end of the flexi-period and subject to local rules, the user may have an option on how to use the accrued extra time:
    • Take flexi-leave
    • Bank as time of in lieu (extra holidays)
    • Take as overtime
  • The timecard can be completed and approved weekly or at the end of the flexi-period
  • Once completed the timecard is validated against the flexi-ruleset and the staff member will be made aware of any broken rules and the correct attendance procedure
  • Once the timecard is completed any changes are recorded in an audit trail. Staff are accountable for the validity of the information
  • Administrators, line and departmental managers and human resource departments can be given a view of the timecard folder to monitor and approve absence requests and flexi-balances
  • Reports of absences and sickness levels
  • Reports of hours worked against contracted hours
