Dudley Metropolitan Borough Council Corporate Estate Services

Dudley Corporate Estate Services forms part of the Law and Property Directorate. They provide a range of services that include Strategic Asset Management, Property Management and Valuation, Local Land Charges and deal with general property enquiries. They have been using Timemaster for some time to record time to projects. Each project has a number of milestones which are used for project and performance monitoring.

Earlier this year Dudley attended a seminar on Timemaster Workflow. It was demonstrated how easy it was to generate their standard letters and memos from a list of pre-defined document templates.

Roger Morton, the IT Project Manager said, "We produce a lot of letters when we deal with each business lease or disposal (of land and property). We saw the Workflow module and we immediately recognised the potential benefit to our business.

I looked first at the land and property disposal process and broke it down into a flowchart showing the decisions which are required before we can generate our standard letters or memos. I included the key milestones used for performance monitoring and we where there. I emailed everything over to Orica and they set-up a demonstration using our documents."

Graham Tree, Orica Software's Managing Director said, "It became clear that we could automate their whole back office function by adding conditional question, milestone and document actions into Workflow. The result has improved our existing Workflow product into a tool that can automate any repetitive business process producing documentation."

Roger Morton continued, "With Timemaster Project Email we can store all our emails or other documents regarding a particular lease or disposal against the project or project action. This will allow anyone in the office to pick-up a case when a colleague is ill or on holiday. Auditing should become a whole lot easier too. We will simply show the auditor our Timemaster system and leave them to it. Everything they need will be there."

Dudley is realising the benefits of standardising business processes to automate the generation of business letters and documents. They have every expectation that their professional staff will soon be spending less time on administrative tasks and more time delivering quality professional services.
